To Create an Event and Schedule a Resource:

  1. Log into your site.
  2. Click on the "My Profile" button on the Main Menu.
  3. Click on your calendar button. (If you don't have a "Calendar Section", go ahead and create one on your profile area.)
  4. Use the right most dropdown list to choose the resource in which you are interested.
  5. Once you find the time slot and resource you are interested in scheduling, Press the "Schedule Event" button.
  6. Give your "Event" a name (i.e. Overnight to KORD) and add appropriate comments such as "Approved by Bob, Dave, Joe" or "I have 1 seat available, let me know if you want to go".
  7. Set the Date and time of the beginning and end of your Event.
  8. By default, the Event will be "Scheduled By" YOU, and the"Resources Scheduled" will be set to the resource you were viewing.
  9. Once you are happy with your selections, press "Save". 

If you are the first person to schedule the resource for this timeframe, you will have the "Primary Reservation" for that resource and it will show up in Green on the resource's calendar.  Otherwise you will have a "Backup Reservation" for that resource and it will show up in Yellow on the resources calendar.  If someone modifies or cancels their Primary Reservation so that it is no longer overlapping a Backup Reservation, the backup reservation will automatically move up to a Primary Reservation and they will automatically get an email, alerting them to the change.  You may have an UNLIMITED number of backup reservations.

You can also schedule more than one resource at a time.  While creating the Event just press the "Schedule Multiple Resources" button.  You will now be able to select multiple resources.


To take an resource Offline, down for Maintenance or any other type of Privileged Event:

A "Privileged Event" is an Event that takes Top Priority regardless of weather someone else created an event for a resource at a given time before you or not.  Only Calendar Administrators (CALADMIN) can create a Privileged Event.

If anyone else had an Event for all or part of the timeframe of a Privileged Event will automatically become a "Backup Reservation" and the person will automatically get an email letting them know about the change.

If the Privileged Event is canceled or modified so that it is no longer overlapping a Backup Reservation, the backup reservation will automatically move up to a Primary Reservation and they will automatically get an email, alerting them to the change.

  1. Go to the scheduling system and begin creating an Event, using the normal procedure, for the timeframe you want to create the Privileged Event, making the following changes:
    1. As the "Event Name", enter a short reason for the Privileged Event. (This will show on the calendars)
    2. Click the checkbox labeled "Privileged Event".  This is the key part!
  2. That's it.  Just press Save.

A Privileged Event will show up in Blue on the Resources Calendar.


Some things to note:

  1. You can not modify an Event that has occurred more than 5mins in the past.
  2. You can not alter an event of another member unless you are a calendar administrator (CALADMIN).

There are a number of short cuts and other features that you may find helpful:

  1. This first one has to do with the "Full Day View" and the "Resource View".  Both of these views will allow you to click your mouse right on the time slot at which you would like to begin an Event.  When you do this, the "Event Scheduling" screen displays with the date and time defaulted to your selection.
  2. On the "Resource View" you can alter the timespan shown.  The selections for these items are on the top of the calendar.  Once you make your choices, they will be "Remembered" for the remainder of your session (until you logoff or close your browser).  One feature we are going to add in the near future is to save your choices so that they remain for your next visit to the site.
